Box Office Manager

The Box Office Manager is responsible for all aspects of managing the Festival’s seasonal Box Office. This person reports directly to the Managing Director and works closely with the Marketing, Programming, and Development Departments. The position is seasonal and starts in early June on a part time basis with increasing time commitment until the position becomes full time in August through the end of the Festival in mid-September. The Box Office Manager’s responsibilities include:

Pre-Festival
• Recruit, hire and train B.O. staff
• Create and track master schedule for B.O. work shifts
• Work with Marketing and Programming staff to become familiar with Festival shows, understand discounts, codes, etc.
• Work with Development staff to understand B.O. role in soliciting/processing donations with walk up/phone ticket orders
• Order ticket stock
• Set up Box Office space with assistance of Festival Administrative staff
• Set up Box Office filing and other systems
• Learn all B.O. policies and procedures (i.e., refunds, exchanges, taking tickets off sale)
• Participate in volunteer training session

Once Box Office Opens
• Supervise all web, walk up, and phone sales
• Handle customer complaints and inquiries
• Print overnight web sales
• Prepare tickets for door sales and Will Call
• Update show info on website
• Respond to Fringe Artist requests to sign out tickets
• Oversee ticket seller Tessitura batch reports and make sure they are closed each day
• Run Tessitura Posting Reports
• Handle end of day settlements from door sales and enter in Tessitura
• Promptly deliver all Posting Reports, cash, and checks to Office Administrator
• Work closely with Festival Marketing, Programming, and Development staff regarding matters including, but not limited to: added discounts, programming changes, and VIP press, presenter, or donor tickets or special needs.

Post-Festival
• Submit all required post-Festival reports
• Revise B.O. Standard Operating Procedures as necessary
• Break down B.O. with assistance of Administrative staff
• Be available for consultation with Festival staff for post-festival questions/concerns regarding reports, reconciliations, customer or artist inquiries and complaints.

Assistant Box Office Manager

The Assistant Box Office Manager assists the Box Office Manager in all aspects of managing the Festival’s seasonal Box Office. The Assistant Box Officer Manager duties include assisting the B.O. Manager in the following areas:

• Set up Box Office filing and other systems
• Participate in volunteer training session
• Transact walk up and phone sales
• Handle customer complaints and inquiries
• Prepare tickets for door sales and Will Call
• Respond to Fringe Artist requests to sign out tickets
• Break down B.O. with assistance of Administrative staff
• Any other administrative assistance that may be assigned by the B.O. Manager

Volunteer Coordinator

The Volunteer Coordinator is responsible for the recruitment, scheduling and supervision of the 2010 Festival volunteers and house managers for key Festival venues, and for ensuring that all productions, performances, and special events in the Live Arts Festival have sufficient volunteer support. The Volunteer Coordinator is also responsible for maintaining the policies and positive front of house atmosphere required by the Festival. The Volunteer Coordinator reports to the Managing Director and works closely with the Marketing and Programming Directors and the Box Office Manager. This position begins on a part time basis beginning in June with an increasing time commitment until the position becomes full time in August through the end of the Festival in mid-September. Duties and responsibilities of the Volunteer Coordinator include:

• Utilize Festival volunteer database to execute mailings for the recruitment of volunteers and paid house managers and follow up on new potential sources of volunteers.
• Enter all new volunteer information into the Festival database upon commitment from volunteer to ensure accurate record keeping.
• Hold one or more training sessions for volunteers of approximately two (2) hours in length which will include training in positive interaction with customers/audience/artists and knowledge of Festival policies. (Other staff members will participate in training in their respective areas.)
• Hold a training session for House Managers
• Be present to receive all volunteers at volunteer check-in at the Festival Box office and work closely with the Box Office Manager.
• Compile daily report of matters of note, important information and problems and how resolved for specified Festival staff. Collect and review all daily house manager reports for each show, including house count for each show.
• Prepare and maintain a master work schedule for all volunteers with all necessary information including, but not necessarily limited to: work schedule, venue assignment and duties. Copies of schedule shall be placed in the Festival Office, the Box Office and at any other location as requested by Festival.
• Maintain and submit all record keeping required of Volunteer Coordinator by Festival during and at the conclusion of the Festival.
• Maintain sufficient contact and communication with volunteers in order to ensure compliance with schedule and duties by the volunteers.
• Promptly and efficiently resolve all issues that arise regarding volunteers.
• Organize and carryout Volunteer thank you party post-Festival.
• Update Volunteer Coordinator Standard Operating Procedures as necessary post Festival.

Assistant Volunteer Coordinator

The Assistant Volunteer Coordinator is responsible for assisting the Volunteer Coordinator in the recruitment, scheduling and supervision of festival volunteers and house managers. This is a seasonal position with approximate employment dates of July 1st through September 18th. Time expectations are as follows: part-time from July until the start of the Festival and full time for the duration of the festival (2010 Festival dates are September 3 - 18). Areas where the Assistant Volunteer Coordinator may be assigned duties by the Volunteer Coordinator include but are not limited to the following:

• Volunteer recruitment & scheduling
• Festival Guide & flyer distribution
• Planning & conducting Volunteer & House Manager Training Sessions
• Participating in special Festival events (e.g., First Fridays)
• Volunteer check in and training during the Festival
• Assist in organizing the post-festival volunteer thank you party
• Any administrative needs as determined by the Volunteer Coordinator

Our program is open to undergraduate and graduate students and other individuals who have an interest in the performing arts. Our internships are usually unpaid except in those cases (noted below) where an institution or foundation has funded an individual intern. We have developed an Internship Program that serves to reinforce and expand classroom theory and practice, and to enable participants to make informed choices about pursuing careers in the arts. The program is geared toward students enrolled in studies related to the production and administration of the performing arts. We also welcome non-students who seek to gain valuable firsthand experience in the arts in exchange for their efforts. The staff of the Live Arts Festival and Philly Fringe is comprised of experienced professionals in the areas of arts administration, programming, marketing and promotion, and development and fundraising. We are happy to partner with faculty, career placement offices, and other appropriate officials at local colleges and universities to afford students the opportunity to obtain a unique educational experience in exchange for academic credit awarded upon successful completion of the program. We offer internships in the following areas: Programming, Marketing and Promotions, Communications, Development and Fundraising, and Arts Administration. Our Managing Director oversees the program, with the assistance of our Office Administrator.

Timeframe

We conduct our Internship Program primarily between the months of May and September. Occasionally we will have a part-time internship available in the off-season. Length of internships as well as work schedule will be individualized for each intern based on the needs of our organization, the intern’s goals, and the requirements of the academic institution. Interns typically work for 20-40 hours per week, mostly during the work week of Monday through Friday, between the hours of 10am and 6pm.

Internships (in alphabetical order)

Arts Administration Internship

The Arts Administration Intern will work with the Managing Director and Office Administrator in performing the financial, IT, and daily office duties so that staff can achieve the Festival's mission.

Responsibilities may include: obtaining visas for international artists; assisting with compliance with 501 (c) (3) requirements; assisting with financial management operations; daily entering of information into accounting software; assist with account payable, deposits, credit card, and petty cash processing; providing IT assistance with our server, website, and email; helping to maintain efficiency of computer operations; and aiding Office Administrator in managing the overall office.

Qualifications: The successful candidate will be detail oriented and organized, and able to handle multiple projects at once. Preferred candidates will have experience with QuickBooks, and academic backgrounds in Arts Administration, Business, Finance, Accounting, or IT.

Community Outreach Internship

The Community Outreach Intern will assist the Community Outreach Coordinator with raising the profile of the Philadelphia Live Arts Festival and Philly Fringe at college campuses and community events throughout the Philadelphia area.

Responsibilities may include: researching area community events for Festival promotion; coordinating Festival representation at general community and university events; exploring new ways to increase audience base for Festival; enhancing Festival’s on-line presence and community network; investigating opportunities to partner with student groups on various campuses; collecting feedback from students, professors, and administrators about the Festival; staffing community and university events; brainstorming new and creative ways to reach out to students, administrators and professors; researching course offerings pertinent to the current Festival season; and building connections with community organizations.

Qualifications: The ideal candidate will be a self-starter with strong social and organizational skills.

Occasional evening and weekend hours will be required.

Development and Fundraising Internship

The Development Intern will provide administrative support to the Development team, primarily assisting with gift processing and donor fulfillment.

Responsibilities may include: archive and database maintenance; gift processing; assistance in the planning, promotion, and staging of special events; fulfilling benefits and perks for sponsors and donors; and communications in a variety of mediums to stakeholders and supporters.

Qualifications: The ideal candidate will be personable, upbeat, enthusiastic, and flexible; able to work independently, but also contribute as a member of a team and receive constructive feedback; computer savvy; and a quick learner who easily adapts to changing priorities. Preferred candidates will have academic backgrounds in English or Arts Administration, and have a demonstrable interest in the performing arts.

Guide Management Internship

The Guide Management Intern will assist the Guide Editor/Copywriter with the production process for the 2010 Festival Guide, and with updating the Festival’s show-related website content. The Festival Guide is a full-color, 120-page catalogue that includes descriptions of every show presented in the Festival, and a comprehensive calendar of all Festival events.

Responsibilities may include: managing, fact-checking, and proofreading information for the Festival Guide; recording guide information in our database; updating the Festival website with changes to artist or show details.

Qualifications: The ideal candidate will enjoy writing and have a strong command of grammar and style; be a current or former humanities major (preferably English) who has experience working on student newspapers, literary magazines, or other publications; have familiarity with using database systems, such as Microsoft Access; and be comfortable navigating websites and using search engines. Preferred candidates will have some familiarity with Philadelphia and its arts and cultural organizations.

Marketing and Promotions Internship

The Marketing & Promotions Intern will assist the Marketing Department with the development and execution of the marketing plan for the Festival and its individual artists.

Responsibilities may include: audience research, management of mailings and distribution, special event promotion and assistance, public relations support, and more. The Marketing Intern's time will be focused in Marketing, however, opportunities to supplement experience within other departments according to candidate's goals and interests will be available.

Qualifications: The ideal candidate will have strong phone and writing skills, and be an enthusiastic self-starter. Preferred candidates will have academic background or experience in Marketing.

Production Internship

The Production Intern will work with the Live Arts Festival's Technical Directors on the coordination of the production needs for the 15+ Live Arts performances that take place in various venues, ranging from traditional theaters to site-specific installations, throughout the city.

Responsibilities may include: working under the supervision of the Festival's Technical Directors to coordinate equipment, people, and production schedules before, during, and after the 2010 Festival; assisting with quick changeovers in Festival venues; picking up rented or borrowed equipment from various locations in Philadelphia and the surrounding areas for delivery to venues; and administrative support of the Production Department in the Live Arts office.

Qualifications: The ideal candidate will be an enthusiastic self-starter with excellent problem-solving and communication skills. Candidates will have a background in theater management and coordination (i.e. stage management, TD, ME) with a basic knowledge of theater/architecture drawings and theater equipment as well as a working knowledge of both Microsoft Word and Excel. Experience with Vectorworks is a plus but not necessary. Candidates must have a driver's license and their own vehicle to be able to run errands leading up to and during the Festival.

Programming Internship

The Programming Intern will work with our Programming Director and Fringe Coordinator on both the Live Arts Festival and Philly Fringe artist and logistical needs for the Festival.

Responsibilities may include: assisting the Programming Director with special events during the months preceding the Festival; creating show programs for Live Arts performances; coordinating housing and travel needs for out-of-town artists; assisting with Live Arts artist contracts; entering data and managing information in our Festival database; assisting with researching and coordinating logistics surrounding outdoor/site-specific Festival shows; and assisting with Festival Bar programming and logistics. The Programming Intern will also assist the Fringe Coordinator in day-to-day operations including artist communication, mass mailings, and other administrative tasks.

Qualifications: This is a grant funded position targeting 18-26 year olds.  Recent college graduates preferred as the Programming Intern is required to work through the 2010 Festival. The ideal candidate will be familiar with the Philadelphia dance and theater community;  experienced in events coordination; a self-starter with initiative who can work on projects independently; detail oriented and organized; able to work in a high-stress environment; flexible and adaptable to change.
